From patient record to payment, the clinic's day in one panel.
A patient record is opened, an appointment is booked, and a treatment receipt appears when they arrive. Payment is entered on top of the receipt, so who came, what was done and how much is still open is visible without counting up in the evening.
Who it is for
For clinics keeping patient records, the appointment book and payments in separate places, who want them in one panel.
- Single-practitioner practices
- Polyclinics running more than one department
- Clinics whose appointment book lives on paper or on a phone
- Clinic managers tracking patient balances in a spreadsheet
A patient record is opened once and the card stays there
When you choose New Patient, a name and a contact detail are enough; date of birth, gender and tags are there for whoever wants them. After that, whatever happens with that patient lands in the tabs of the same card.
- Personal Details, Financial Status and Recent Notes sit at the top of the card
- The Treatments tab carries Date, Title, Practitioner, Department, Amount and Open Balance
- The Appointment History tab carries Date, Time, Staff, Service and Status
- The national ID or tax number is not required; if you enter one, its format is checked
- Up to three tags per patient; if a similar record exists, you are warned before saving
Appointments live in a calendar, not a notebook
The Appointments screen has four tabs: Staff Calendar, Appointment Calendar, Appointment List and Settings. Click an empty slot and the booking window opens with that staff member and time already filled in.
- The Staff Calendar splits a single day into staff columns, so free time is visible at a glance
- The Appointment Calendar opens in month, week and day views
- The Appointment List lays thirty days out day by day
- A service or a package is attached to the appointment, and the remaining entitlement shows in the window
- Arrived, No-show and Cancelled are marked on the appointment itself
Who fills the calendar: staff, shifts and leave
On the Staff screen you open a person and pick their roles and the branches they are authorised for. The Working Calendar holds the weekly shift, and the Leave tab holds who will be away and when.
- Staff, Leave, Working Calendar and Company Holidays are tabs on the same screen
- A new staff member receives a temporary password by activation SMS
- A leave row is closed from the list with Approve or Reject
- A shift is defined for seven days with a start, an end and a break
- A screen that is not in someone's role does not appear in their menu
- Two-step verification is available at sign-in, and the panel is protected by a lock screen
A request from the web does not get lost: the leads list
Contact requests coming from the clinic's web page or its landing pages land on the Leads screen. Every request has a clear status: New, Called, Qualified or Closed.
- The request row shows the name, the phone number and where it came from
- A request that has been called is marked, so nobody on the team calls the same person twice
- A request that turns into a patient is tied to that record
The clinic's web page comes ready
The business page opened from the panel carries the address, opening hours, services and online booking together. Title, description and location are edited from the panel's Settings screen.
- The online booking link is ready on the page
- The Google Maps location is set from settings
- The notification centre at the top right of the panel also works on the web: a new request or booking arrives immediately
A receipt opens when the patient arrives, and the day closes itself
When you mark an appointment Arrived, a treatment receipt opens and you enter its line items. You add the payment on top of the receipt, and the dashboard shows the day's revenue and collections without any counting up in the evening.
- The Treatments screen has a tab per department, each showing its own receipts
- The receipt list carries Total, VAT, Status, Practitioner and Remaining Amount together
- You pick the channel on Add Payment: cash, credit card or bank transfer
- Open items are offset against each other on the Payments screen
- The Revenue / Treatment Report downloads as Excel or PDF
What changes
The difference between keeping the clinic's day in separate books and keeping it in one record:
Frequently asked
What does clinic management software do?
It keeps the patient record, the appointment, the work done and the payment on one record, so you are not trying to remember in the evening who came when. In Bi'Klinik a patient card is opened once, the appointment lands in the calendar, and a treatment receipt appears when the patient arrives. The clinical record itself is out of Bi'Klinik's scope; what is described here is the clinic's record and money side.
Where do you start with clinic management software?
First you define your service and package list once and add your staff with their roles. The rest is the daily work: registering the patient, writing the appointment into the calendar, opening a receipt for the patient who arrived. We go through the fields of the patient card on the patient tracking page, and the four calendar tabs on the appointment calendar page.
Can I keep clinical history, prescriptions and test records?
No. Bi'Klinik is clinic management software; it holds the patient record, the appointment, the treatment and the money, not the clinical record. There is no screen for history, prescriptions, tests or diagnosis. You can write a free-text note on a patient and attach documents, but these do not stand in for a clinical record.
Can I issue an e-invoice to a patient?
Yes. Bi'Klinik issues e-Fatura and e-Arşiv documents approved by GİB, Türkiye's tax authority. Because the receipt's total, VAT and remaining amount already sit on the record, the document is produced from that same record. The patient's invoicing title, tax number and tax office are kept in a separate section of the patient card.
Do appointment reminders go to the patient automatically?
We do not say automatically; there is a setting for it in the panel and you switch it on. We write out which fields the setting is built from, and what the sending depends on, on the appointment calendar page. The booking window also has a note field for an SMS and an email specific to that appointment.
Do I need clinic management software when I already have an accountant?
Yes, because the two do different jobs: an accountant closes the past period, this panel shows today. Who came, whose balance is still open, where this month's revenue stands: the answer sits here. We describe collections on the payments and expenses page and period figures on the revenue and reporting page. This panel stays out of tax returns and statutory ledgers.
Let's set up the clinic's day together.
Leave your number and we will call within 30 minutes, then build one day of your clinic in the panel from patient record to payment.
