Let the reminder reach the patient under your clinic's name.

You switch the reminder on from the panel and write the hour the message should go out to suit your clinic. Because the SMS sender name is also defined in the panel, the patient does not have to ask who the message is from.

Who it is for

For clinics where staff make reminder calls from their own phones and try to hold in their head who has been called.

  • Clinics calling patients one by one the day before an appointment
  • Practices trying to reduce slots left empty by no-shows
  • Businesses that want the message to go out under the clinic's own name
  • Teams that want a record of what was sent to whom

The message goes out under your clinic's name

The reminder SMS reaches the patient from your clinic's name, not from an unknown sender. You define the sender name in the panel, so when the patient opens the message, who wrote it is written at the top.

  • The SMS sender name is defined in the panel
  • The reminder goes to the patient under the clinic's own name
  • The name is a panel setting, not something retyped for every appointment
  • The same name applies to per-appointment sends as well

You set the hour, and the setting stays in the panel

A reminder is a setting, not a job set up one at a time. In the appointment settings you switch the notification on and write the hour the message should go out to suit your clinic. The sending itself runs outside the panel; you switch the setting on and follow the result through your balance.

  • The Send appointment reminder setting is switched on or off from the panel
  • You write an hour that suits the clinic into the Reminder Time field
  • The setting is configured once, not asked again on every appointment
  • While the setting stays on, new appointments follow the same rule

You can write a message for one specific appointment

Beyond the general setting, a send can be made for the appointment you are saving. On the booking form you tick SMS and email separately and add your own note to the message.

  • SMS and email sending boxes are ticked separately on the booking form
  • A note specific to that appointment is added to the message
  • Both channels can be used together, or just one of them chosen
  • The patient's phone and email come to the form from their card and are not retyped

Sending draws on your balance, and the appointment's outcome stays on the record

SMS and email sending depend on your balance, and you follow what is left on the Package Usage screen. What happened to the appointment also stays written in the appointment's own status, so you are not trying to remember in the evening who did not come.

  • The remaining balance is read on the Package Usage screen
  • The Notifications tab on the patient card depends on permissions and is not visible to everyone
  • The appointment status stays on the record as Cancelled, No-show, Arrived or Pending
  • In the Appointment List, Cancelled and No-show arrive marked with badges
  • A patient who no longer comes is not deleted but set inactive, and their history stays

Frequently asked

How does the appointment reminder reach the patient?

The reminder is tied to a setting: you switch Send appointment reminder on and write an hour that suits your clinic into the Reminder Time field. If you also want a send for one specific appointment, you tick the SMS and email boxes while saving the appointment and add your own note. The sending itself runs outside the panel, which is why we do not say it goes automatically: you switch the setting on, and you follow whether it went through your balance.

What name does the SMS show to the patient?

Your clinic's name. The SMS sender name is defined in the panel, so the reminder does not arrive from an unknown sender but from the clinic name the patient recognises. You define the name once and it is used on every send.

What does sending depend on, and where do I see what is left?

SMS and email sending depend on your balance. You follow the remaining balance on the Package Usage screen; it is a counter you see in advance, not a surprise deduction. When the balance runs out, sending is not possible, so it is worth opening that screen from time to time.

Can I send reminders over WhatsApp?

No. Bi'Klinik sends appointment reminders by SMS and email. There is no sending over WhatsApp or Instagram today, and no automatic marketing campaigns either: the product sends the reminder tied to an appointment, it does not build campaign flows. Because the patient's number sits on their card, you can also write the message yourself.

Where do I follow the sending history?

There is a separate Notifications tab on the patient card and it opens based on permissions, so staff without them cannot see it. For total usage you look at the Package Usage screen, where the remaining balance is written. Let us look together during setup at which export you actually need.

Do I set this up separately for every session of a follow-up course?

No. You create the appointment as recurring: you give a weekly, monthly or yearly interval, a preview sentence spells out what will be created, and the sessions lay themselves out in the calendar. The reminder setting applies to every appointment in the series. We describe the calendar in full on the appointment tracking page.

Let's switch the reminder on together.

Leave your number and we will call within 30 minutes, then set your sender name and reminder time together on the phone.
