The Staff Calendar. One day, one column per staff member, time slots down the left.

Who it is for

For clinics that want to split the day across several people's calendars and write an appointment taken over the phone into one place.

Staff calendar: the day on one screen, a column per person

You open the day and see who is busy at which hour in their own column. Click an empty slot and the new appointment form opens with that staff member and that time already set.

  • Previous day, Today and Next day move you around on the same screen
  • The staff picker has Select all and Clear; Hide free staff narrows the screen
  • Closed hours, breaks and leave show as a shaded mask
  • The mini calendar on the side takes you to another day
  • Clicking an appointment opens a box holding Arrived, Edit and No-show

Seeing the month is one thing, seeing the day another

In the Appointment Calendar you move between Month, Week and Day, and clicking a month cell drops you into that day. The Appointment List is not a calendar but a plain list grouped day by day.

  • In month view, appointments that do not fit a cell collect as +N more
  • Week view also opens per staff member: seven days, one column per person
  • The staff filter offers All or None, and your choice is remembered next time
  • The Appointment List lays a thirty-day range out hour by hour under day headings
  • Cancelled and No-show carry badges in the list, and you move from a row into the edit form

The booking form: staff, time, patient and service

The staff member is required on the form, and the end time fills itself from the duration of the service you pick. If the patient is not in the list, you open a new record without leaving the form.

  • The patient search field only searches patient records; other accounts do not appear
  • Once you pick the patient, their phone, email, tags and outstanding balance show on the form
  • You pick a service or a product; if the patient has a package, the remaining entitlement shows beside it
  • Recurrence is weekly, monthly or yearly, and a preview sentence spells out what will be created
  • The daily calendar in the right-hand panel shows how full that day is without closing the form

Arrived, No-show, Cancelled: an appointment ends somewhere

When the patient arrives you mark Arrived; a treatment receipt opens behind it and you land straight on that screen. No-show and Cancelled are separate actions that ask for confirmation, and both stay on the record with their badge.

  • The receipt that is created also appears in the Treatments tab of the patient's card
  • Appointment history has its own tab on the patient card: Date, Time, Staff, Service, Status
  • In settings you switch on staff clash and station clash checks
  • With Prevent creating appointments in the past ticked, you cannot write into yesterday's slot
  • You connect Google Calendar from the Integrations tab in your profile, and appointments land in your own phone calendar
  • SMS reminders go out under the clinic's own name; the sender name is defined in the panel

Frequently asked

What does appointment software do?

It shows on one screen who is busy at which hour and which hours are still free. In Bi'Klinik an appointment is tied to a staff member, a time and a patient, and when the patient arrives that same record turns into a treatment receipt. So the day's plan and that day's treatments do not sit in separate books.

Can I click a free slot to create a booking?

Yes. Clicking an empty slot in the Staff Calendar opens the new appointment form with that staff member and that time. You search for the patient, pick the service and add a title or note if you need to; because the end time fills from the service duration, you do not work it out by hand.

Can I change an appointment's time afterwards?

Yes. Click the appointment and choose Edit to change the time, the staff member or the service. If the new time clashes with another appointment you get a warning as you save, so two patients do not land in the same slot.

What happens when I mark Arrived?

The appointment is marked Arrived and a treatment receipt opens behind it; once you confirm, you move straight to the receipt screen. The receipt's line items, discount and notes are the subject of the treatment tracking page. You can also come back to the same receipt from the Treatments tab on the patient's card.

Do reminders go to the patient automatically?

There is a setting for it in the panel: Send appointment reminder and Reminder Time. Each booking form also carries SMS and email sending boxes along with your own note. The sending itself runs outside the panel and both SMS and email depend on your balance; you see the remaining balance on the Package Usage screen. So you switch the setting on, and you follow whether messages went out through the balance.

Who creates the appointment?

The clinic does: from the Appointments screen by clicking an empty slot, or with quick add in the top bar. A patient's past appointments are read from the Appointment History tab on their own card, so you do not have to go back to the calendar for that.

Does clinic appointment software replace a paper book?

Wherever the book is, the day's plan stays on that desk; when that person takes leave or someone else answers the phone, the plan goes with them. In Bi'Klinik the appointment stays tied to a staff member and a time, and everyone on the team opens the same day. No-show and Cancelled records are not deleted either; they stay on the appointment.
